The mental model

Two systems, two sets of standards, one pipe.

Salesforce enforces picklists, validation rules, and required fields that HubSpot may not. A value such as “U.S.” can live comfortably in HubSpot but fail when Salesforce accepts only “United States.” Imports inject new variants, and every rejected record becomes another sync error. The pipe also carries whatever already exists on either side, including duplicates. The connector is doing its job; the data entering it does not meet the same standard in both systems.

Why did merging records in Salesforce delete records in HubSpot?

Before running the coordinated process, set that behavior to Do nothing. Check the HubSpot recycle bin for affected records, then follow the documented procedure before merging again.

Why did HubSpot fill with duplicates after connecting Salesforce?

Incoming Salesforce records can be matched by email alone, with the first matching record retained. A duplicate backlog or inconsistent identifiers in Salesforce can therefore arrive in HubSpot as duplicate or incorrectly paired records. Deduplicate Salesforce first, then align the HubSpot merges through the shared master field.
